Employment Type: Full-Time (30-40 hours/week)

Compensation: $24-27/hour (based on experience)



About Good Nature Therapy Services

Good Nature Therapy Services is a pediatric therapy clinic dedicated to providing high-quality occupational therapy (OT) and speech-language pathology (SLP) services in a supportive, family-centered environment. Our team is passionate about helping children thrive while creating a welcoming and organized experience for the families we serve.



Position Overview

The Practice Coordinator plays a key role in the daily success of Good Nature Therapy Services by overseeing front office operations and supporting the administrative and financial functions of the clinic. This role ensures a smooth, efficient, and positive experience for patients, families, and staff.

This position works closely with therapists, billing personnel, and leadership to support scheduling, payroll processing, and overall clinic operations.



Key Responsibilities

Front Office & Patient Experience

  • Greet and check in/out patients and families in a warm, friendly, and professional manner

  • Answer phones, respond to inquiries, and manage daily clinic communication

  • Maintain a clean, organized, and welcoming front office and waiting area



Scheduling & Intake Coordination

  • Manage daily schedule flow, facilitate rescheduling appointments, and manage clinical waitlist to support productivity 

  • Convert initial inquiries into scheduled evaluations and prompt scheduling of ongoing sessions

  • Collect and process intake paperwork, ensure all required documentation is completed prior to appointments



Billing & Insurance Coordination

  • Collaborate with billing personnel who handle insurance verifications and authorizations

  • Collaborate with clinical team to resolve denials

  • Assist in identifying and flagging billing or payment concerns

  • Track authorization status and ensure visits are scheduled within approved limits

  • Identify and escalate any insurance or authorization concerns

  • Check basic client information for accuracy (e.g. up-to-date insurance card on file)



Payroll & Financial Administrative Support

  • Process payroll and employee schedules (e.g. time off), ensuring accuracy and timelines

  • Collaborate with leadership on payroll approvals and any necessary adjustments

  • Maintain employee records and handle sensitive information with confidentiality



Clinic Operations

  • Order and maintain office supplies

  • Support general clinic organization and upkeep of shared spaces

  • Improving and maintaining administrative systems and workflows

  • Provide day-to-day operational support to clinical team

    • We currently offer pediatric Occupational Therapy and Speech-Language Pathology services as well as enrichment programming, facility rental and community events

Qualifications:

  • Previous experience in working in private practice administration, scheduling, and billing strongly preferred

  • Strong communication and interpersonal skills

  • Ability to work effectively as part of a multidisciplinary team

  • Passion for working with children and families

  • Motivated with the ability to function proactively and independently
